Process

How does a project with Samford Labs typically start?

Every engagement starts with a free assessment — a 30-minute call that maps your workflow, followed by a written roadmap of the highest-ROI things to automate. If you want to proceed, we produce a fixed-scope proposal with a defined deliverable, timeline, and price, so you know exactly what you’re committing to before any work begins.

How long does a typical project take?

Most engagements run four to eight weeks. A single integration or focused automation sits at the shorter end; we take on larger builds selectively, and the fixed-scope proposal always states the timeline honestly — weeks, not quarters, for the typical engagement.

What happens after the project launches?

You get a handover designed to make you independent: the system, source code, documentation, and a walkthrough your team can actually use. Post-launch support is available — never required — because the goal of every engagement is a system your team owns outright.

Do you work in sprints or deliver everything at once?

You see working software early and often. Iterative delivery means we can adjust direction based on what you learn during the build — this is the single most reliable way to deliver software that matches how your team actually works.

How do you handle scope changes during a project?

Every change is re-scoped and approved before it costs anything. If scope needs to move, you get an updated deliverable, timeline, and price in writing first. No surprise invoices, no silent scope creep.

What does a project cost?

Engagements start at $5,000, with no fixed upper range — the ceiling is your scope, not our menu. The floor buys a single two-system integration, finished and documented; a typical workflow automation lands near $10,000, and multi-system orchestration starts around $25,000. Every project is priced as a fixed scope after the free assessment, and we show you the expected ROI before you commit.

What does the $5,000 minimum engagement include?

A single integration: two systems connected — bi-directional sync, error handling, full documentation, tested and shipped. The same floor buys equivalent fixed-scope work in other practices: one workflow automated end to end, one system’s architecture reviewed with written recommendations, or one document-processing pipeline in production.

Do you offer ongoing support or maintenance?

Yes — and support is a choice, not a dependency. Every handover is designed so your team (or any developer you hire) can run the system without us. Some clients want ongoing development as their business evolves; others want monitoring only. Support terms are defined per engagement, structured month-to-month.

Do you require a long-term contract?

No. Engagements are project-scoped with clear deliverables and timelines. Ongoing support is optional and can be structured month-to-month. We earn continued work by delivering results, not by locking you in.

How do you handle intellectual property?

You own the code. Full intellectual property transfer is standard in every engagement. The system we build is yours — source code, documentation, and deployment infrastructure.

Do you work with my existing tech stack?

Yes. We integrate with what you already use — CRMs, ERPs, payment platforms, phone systems, and internal tools. Our approach is to extend your systems, not rip and replace them. If something is working, we build around it.

What industries do you work with?

Can you build mobile apps?

Yes. We build cross-platform apps for iOS and Android with offline-first architecture, encrypted local storage, and intelligent sync. One codebase, platform-native security, full functionality regardless of connectivity.

How do you handle security and compliance?

Security is architecture, not a feature. Every system ships with AES-256 encryption at rest, row-level data isolation, PKCE authorization flows, and audit logging from day one. PCI-compliant pipelines and zero-delete enforcement are structural — built into the foundation, not bolted on after the fact.

Do you use AI in your solutions?

Only when it adds measurable value. We build cost-optimized AI pipelines with PII redaction, confidence-based routing, and quality gates — not AI for its own sake. Every AI component is evaluated against a simpler alternative, and we only ship it if the AI version demonstrably outperforms.

Who will work on my project?

James Samford personally architects and builds every system — Samford Labs is founder-led by design. You work directly with the person making technical decisions, with no handoff to a junior team after the sales call. We are a deliberately small practice and take a limited number of engagements at a time.

How do we communicate during a project?

Async-first: written updates, a shared project board, and scheduled calls at milestones — with a response within one business day whenever you reach out. No account manager buffer; when you have a question, you talk to the person building your system.

How quickly can you start?

You’ll hear back within one business day, and the fixed-scope proposal sets a realistic start date. Because we’re a deliberately small practice with a limited number of concurrent engagements, we’d rather give you an honest start date than a rushed build — if we’re at capacity, you’ll know immediately.

Who is Samford Labs not a good fit for?

If you need a large team embedded across multiple workstreams for a year, an agency’s bench will serve you better — and we’ll tell you that in the assessment. The same goes for sub-$5,000 tasks and body-shop staffing arrangements. Where we excel is focused, high-leverage work: one system built right, by the person you actually talked to.

Do you still build your own products?

Yes. Collect, Talk2CRM, and Auto-Heal are products we designed, built, and run ourselves — Collect is live in production, Talk2CRM is in beta, and Auto-Heal is in development. Client work is our focus; the products are our track record.
